A better handoff from quote to delivery

Give operations the accepted scope, conditions and ownership it needs to carry the job forward.

Delivery planPRODUCTPeople · scope · timing

The next team should be able to understand the job without reconstructing the sales conversation. A clear handoff carries the accepted scope, relevant supporting information and remaining conditions into the work that follows the order.

Start with the agreed offer version. Keep it available as a reference record and distinguish it from any later proposed change. That gives sales, operations and the customer a shared starting point.

Transfer the decisions behind the lines

Identify the products and accessories, the modification details and the defined services. Include the drawing revision and the information behind important technical decisions. Make exceptions and agreed assumptions visible to the people preparing the work.

Keep estimated dates separate from confirmed commitments. If a service depends on site readiness or another provider, name the owner who will check that dependency. A date on an offer is more useful to operations when its conditions are available alongside it.

Make ownership practical

For each open condition, record the next action, the responsible person or team and the point at which it must be resolved. The aim is a handoff that the receiving team can acknowledge and work from.

Agree the route for questions. Sales may retain the customer relationship while a technical reviewer owns a product decision and a service owner coordinates the provider. Visible responsibilities help the team address a change without sending every question back through the same inbox.

Carry changes through the record

If scope, price or timing needs to change after acceptance, use the amendment or recovery process agreed for the job. Keep the accepted version and the proposed revision distinguishable, with the relevant approvals and customer communication.

  • Accepted offer and drawing versions
  • Product, modification and service scope
  • Conditions behind delivery and service dates
  • Named owners and receiving-team acknowledgment
  • A visible route for amendments and exceptions

Review a small group of completed jobs and ask where operations had to reconstruct missing context. Use those examples to improve the handoff, then measure follow-up effort, corrections and unresolved conditions on the next group.
